ALAMO PLACITA NEIGHBORS ASSOCIATION PRIVACY POLICY

GENERAL PRINCIPLES
• This policy governs Alamo Placita Neighbors Association’s (APNA) collection and use of personal and business information collected obtained by APNA. APNA collects such information from emails, information supplied by visitors to APNA’s website, regular mail correspondence, telephone calls and faxes, among other sources.

• APNA’s policy is to use all such personal information collected from any source only for the purposes of the activities of APNA, as set forth in its bylaws and as prescribed by the Denver Revised Municipal Code, Sections 12-91, et seq. Among the prohibited uses of members’ personal information are: the promotion of any business or commercial interests; the promotion of any political candidate or cause; and the furtherance of the interests, views or agendas of any individual, including members of the APNA board.
 
• APNA maintains internal lists of its members and other individuals and organizations with which APNA has dealings and their personal information. APNA treats this information as strictly confidential. APNA never shares this information with or sells or rents it to third parties, including, without limitation, APNA board members (other than the Communications Director and the Webmaster) and other APNA members and neighbors.
 
• APNA collects and uses member names, email addresses, physical addresses and membership information to update or upgrade its Gmail email account and website systems and to distribute APNA newsletters, alerts, public interest information, correspondence that is of general relevance to the Alamo Placita neighborhood, event notifications and other professional information that assists APNA in accomplishing its goals and objectives as a Registered Neighborhood Organization (RNO).
 
EMAIL/APNA EMAIL ADDRESS
• The APNA Board of Directors appoints one of its members as the Communications Director, and it is this member’s responsibility to monitor the APNA email account (email.apna@gmail.com) to ensure that it is maintained and used in conformity with the above General Principles.

• The APNA Board of Directors appoints one its members as the Webmaster, and it is this member’s responsibility to monitor and maintain the APNA website (www.alamoplacita.org) to ensure that is maintained and used in conformity with the above General Principles.
 
• The Communications Director and the Webmaster are the only individuals with the passwords to the APNA email account and to the APNA website. These passwords are periodically changed for security reasons or if a new Communications Director or Webmaster is appointed.
 
APNA EMAIL CONTACT LIST
• APNA maintains an email contact list, which includes the names and email addresses of current members who have shared their email addresses with APNA, names and addresses of former members and contact information received from other parties who have communicated with APNA through a variety of means.
 
• The email contact list, including all members and other third-party information contained on it, is treated in conformity with the above General Principles.
 
EMAIL CONTACT CHANGES
• The email contact list is modified when an APNA member so requests in writing or by email.
 
• Email addresses of new APNA members or members sharing their email addresses for the first time are forwarded to the Communications Director on at least a monthly basis. Typically, the person forwarding this information is the APNA board member charged with the responsibility for maintaining the APNA Membership List, generally the APNA board Vice President.
 
• Upon receipt of a new member email address, the Communications Director sends a welcome email note to that member. In the event this welcome note/test email shows a failure to deliver, the Communications Director will investigate, including telephoning the member, if possible, or contacting other neighbors who might know the member.
 
• The Communications Director periodically reviews “Permanent Failed Deliveries” and removes from the member email contact list email addresses where this is the case. If the contact is a current member, the Communications Director makes reasonable attempts to obtain a new email address for that member.
 
APNA EMAIL INFORMATION AND MESSAGES
• APNA receives email and web information regarding and relevant to the Alamo Placita neighborhood from various sources, including:
     Announcements from agencies and departments of the City and County of Denver
     Emails from APNA neighbors and APNA members
     Newsletters and emails from Denver City Council members
     Newsletters and emails from area advocacy groups and other RNOs
 
• Email announcements are sent out by the Communications Director in reliance upon general authority granted by the APNA board or, when it is appropriate, based on specific authority granted by the board. APNA tries to minimize and consolidate emails, when possible. Some APNA and community events are announced by email, including, among others, the annual general meeting, the annual neighborhood event in the park, happy hour gatherings and special events or meeting announcements. These events may, in addition, be announced on the APNA Facebook page.
 
• All APNA member email messages are always sent Bcc (blind copy) to protect the privacy of APNA members and consistent with the above General Principles.
 
• The email addresses, telephone numbers and other personal information of APNA board members are not posted on the APNA website, and any APNA member or other person wishing to communicate with the APNA board or any of its members is asked to go through the APNA email account or the APNA website.
 
• The Communications Director checks the APNA email account at least once a week, if not more frequently, to collect and, if appropriate, respond to emails that have been received. The APNA board and the Communications Director acknowledge that a delay in reading received emails may result in delays in the APNA board receiving and/or responding to important information.
 
• The Communications Director reads new incoming emails and decides whether to forward the email to concerned or interested parties on the board, including the Webmaster, for possible posting on website.
 
• The Communications Director also decides whether to delete spam, inappropriate emails or advertisements, as needed.
 
• If the Communications Director decides that email or web information is appropriate for a Facebook posting, the Communications Director will follow the Facebook procedures for sharing the information.

FACEBOOK/APNA FACEBOOK PAGE
• APNA has a board-monitored Facebook account, entitled Alamo Placita Neighbors (http://www.facebook.com/apneighbors).
 
• The Communications Director and the Webmaster are the only individuals who have the password to the Facebook account. The password is changed periodically for security updates or if a new Communications Director or Webmaster is appointed.
 
• The Communications Director checks the Facebook account once a week or more frequently, if possible. The Communications Director reads the Facebook entries and decides whether to delete spam, inappropriate postings or advertisements, as needed.
 
• The Communications Director monitors the Privacy Settings for the Facebook account and attempts to stay abreast of changes made by Facebook in its Privacy Settings.
 
• APNA currently maintains a private Facebook page whose access settings are established so that only approved “Friends” may visit the site to read or comment on postings.
 
• All “Friend Requests” are granted unless there appears to be an inappropriate request (e.g., gaming, sexual or commercial, among others).
 
FACEBOOK POSTINGS
• The Communications Director may decide that there is information in an APNA email or web posting that is be appropriate for addition to the APNA Facebook page.
 
• If a Facebook posting is made, a copy of the posting is sent to APNA board members via email for their information as not all APNA Board members are on Facebook.
 
• The Communications Director also monitors postings to Facebook by “Friends”. While an atmosphere of general openness is encouraged, a posting may be deleted if it is deemed inappropriate or offensive. If the Communications Director is concerned about a possibly offensive posting, but unsure whether to remove it, the Communications Director will share the posting with the president of the APNA board for further consideration. The APNA board may also be consulted if the president and/or the Communications Director feels additional input is needed before removing a Facebook comment.
 
WEBSITE/INFORMATION COLLECTED
• The only hard information (i.e., email, phone, name, address) collected on the APNA website is information that is voluntarily submitted by people visiting the website. This is accomplished when a visitor voluntarily completes a standardized contact form on the “contact us” page. Those individuals who wish to contact APNA via the website are required to provide their names and email addresses and to indicate whether they are APNA members. Any other information asked for in this connection is provided on a purely optional basis.
 
• In addition, users have the option of contacting APNA by emailing APNA directly through the APNA email, as described earlier in this policy.
 
• The website logs and time/date stamps messages that are sent through the contact form on the website. The Webmaster maintains a record of the log of such messages; however, the Webmaster will not add email addresses and phone numbers to APNA’s member database when users have
contacted APNA through the website unless these individuals have expressly requested that their contact information be added or updated.
 
OPERATION OF WEBSITE
• The website is specifically treated as a “customer service” portal and not a means of gathering contact and other personal information. In this regard, the website is designed and operated to afford users a means of contacting APNA and providing information or expressing views in a “safe” environment – i.e., where they will not have to be concerned that they will be barraged with unnecessary or inappropriate information as a result of their making contact. In general, most people who contact APNA via the website are not APNA members, but rather are seeking information about the neighborhood, local services and the like.
 
MISCELLLANEOUS
• APNA maintains a list of virtually all properties located within the APNA RNO boundaries, and believes that this list is generally accurate. APNA has not linked these properties to current or former members of APNA and maintains this list to use for its annual membership meeting/membership notice mailing. This list is treated as strictly confidential information in accordance with the above General Principles.
 
• APNA maintains a separate list of all current and former members of APNA with their last known email and physical addresses, if they are known. APNA maintains this list as strictly confidential information in conformity with the above General Principles.
